Give one HOA workflow a clear owner, status, and next step
Your team should not have to chase the same request across email, calls, portals, and spreadsheets. Residents want to know what happens next. Managers need less sorting and follow-up. Boards need a clear record. Sensitive cases still need a person in charge.
Edukas Solutions.
Five clear starting points
You do not have to design the system. Most teams should start with Resident Response Visibility. If another problem costs you more time, choose the closest package below.
| Starting package | Who it is for | Price | First outcome | Time |
|---|---|---|---|---|
| Resident Response Visibility | Teams facing repeat emails, calls, and status checks | $15,000 fixed¹ | Each request shows an owner, status, and next step | About 3 weeks |
| Acquisition Handoff Control | Teams taking over communities, records, or open work | $15,000 fixed¹ | Open work shows what arrived, what needs an owner, and what needs a decision | About 3 weeks |
| Work Order & Invoice Control | Teams losing track of maintenance, vendor, or bill handoffs | $15,000 fixed¹ | Each work or bill handoff shows an owner and next step | About 3 weeks |
| Board–Manager Scope Clarity | Teams unsure whether staff or the board owns the next step | $15,000 fixed¹ | Each request shows where staff or board review comes next | About 3 weeks |
| Manager Load Relief | Teams whose managers carry too much sorting and follow-up | $15,000 fixed¹ | Managers see urgent, aging, and unowned work in one view | About 3 weeks |
¹ Every package is the same fixed Quick Start. The four payments are $6,000 kickoff¹, $4,500 at architecture lock¹, $3,000 when the demo is live¹, and $1,500 at handoff¹. The $6,000 kickoff payment is non-refundable once work has commenced. Later milestones are refundable only as set out in your signed scope of work.
What happens week by week
- Week 1 — Map one workflow. We review approved samples, your current steps, and the cases that must stop for a person. We agree on the target before we build.
- Week 2 — Build and test. We build the hosted demo. We test common requests, edge cases, and each human stop point.
- Week 3 — Review and hand off. Your team tries the workflow. We refine it, then hand over the code, test set, architecture brief, results, and production roadmap. Production integration is separate work.
How we handle your data
For the contact form: Our team reads your message. We do not use it to train AI models. Email us any time to ask us to delete it.
For Quick Start records: We start with sample data you approve, or records you have anonymized first. Before sorting, the system masks the resident details you give us: name, email, phone, address, and unit. It also masks contact details, addresses, unit numbers, and account references it finds in the text. This is a bounded list, not a catch-all. We store the masked case and keep each client's cases separate. Every suggested next step waits for a person.
What we need from you
- Approved sample data or records you have anonymized.
- Your owner, approval, response, and escalation rules.
- One staff lead for weekly reviews and final approvals.

Paste this into your memo
We recommend a 21-day Edukas HOA workflow Quick Start for $15,000 fixed¹, paid in four steps. We will start with [PACKAGE NAME] and build one hosted workflow around approved sample data and our current rules. Edukas will mask a bounded list of details, keep each client's cases separate, and require a person to review suggested next steps. We will provide the sample records, process rules, and one staff lead. We will receive a hosted demo, code, a test set, an architecture brief, results, and a production roadmap. The Quick Start will not replace our main platform or make sensitive decisions for us.
